QuickBooks Interface
|
Quick-Trak Inventory Pro is now designed to work specifically with external accounting systems such as QuickBooks Basic, Pro, and Premier (2002, 2003 & 2004). Because QuickBooks is primarily an accounting package, its strengths are focused on the financial accounting side rather than on material handling and Inventory Management. As a result, Quick-Trak Inventory Pro was designed to track the inventory side of the business while QuickBooks does the accounting side.
|
The flow of data between the two systems is primarily a one-way street. Data is extracted from QuickBooks and imported into Quick-Trak Inventory Pro. To update your QuickBooks data, you can rely on the accuracy of our standard reports in Quick-Trak Inventory Pro. The process is very simple. Below is a short summary on how this works:
|
Purchasing and Material handling Transactions:
Step 1:
QuickBooks: Enter your vendor information and part numbers into QuickBooks. Create your purchase orders in QuickBooks.
Step 2:
Quick-Trak Inventory Pro: Import your purchase orders data including new part numbers, quantities ordered, vendor addresses, and Inventory pricing information into Quick-Trak Inventory Pro. Use Quick-Trak Inventory Pro to process receipt transactions and inventory put-away transactions. This will provide visibility to specific locations within your warehouse where the product is stored.
Step3:
QuickBooks: Run receiving summary reports in Quick-Trak Inventory Pro and update Purchase Orders received in QuickBooks.
Overall Results:
Using Quick-Trak Inventory Pro will ensure that you have received what you ordered. It will also ensure that your inventory levels are accurate and reliable. With the purchasing reports in Quick-Trak Inventory Pro, you will only pay your vendors for what you received, not what they said they sent.
|
Customer and Shipping Transactions:
Step 1:
QuickBooks: Create customers, ship to addresses, and part numbers in QuickBooks.
Step 2:
Quick-Trak Inventory Pro: Create a new sales order in Quick-Trak Inventory Pro for your customers. Using the Pick, Ship and Packing list features in Quick-Trak Inventory Pro, along with the speed and accuracy of portable handheld bar code scanners, ship the materials to your customer.
Step 3:
Quick-Trak Inventory Pro: Generate a shipping report to show which sales orders and for which customer were shipped.
Step 4:
QuickBooks: Create invoices, add tax, services charges or other non-inventory items, and mail, fax or email them to your customers along with a packing list generated from Quick-Trak Inventory Pro.
Overall Results:
Using Quick-Trak Inventory Pro will increase your overall warehouse productivity and inventory accuracy by allowing your personnel to validate the transactions against the data imported from QuickBooks. It will also ensure that you keep your customer's happy by not billing them for services or goods they have not received. Finally, keep your QuickBooks data clean and free of invoices that seem to stay open for months because you haven't delivered the product to your customers.
